Most of us barely scratch the surface of the apps and tech we use daily. Unlocking those hidden features can significantly boost productivity and enhance our overall digital experience. Let’s dive into some “beyond the basics” tips for popular apps and tech in 2025:
Smartphones (iOS & Android)
- Custom Text Replacements (iOS & Android): Instead of typing out frequently used phrases, create custom shortcuts. For example, typing “emladd” could automatically expand to your full email address.
- iOS: Settings > General > Keyboard > Text Replacement.
- Android: Settings > System > Languages & input > Virtual keyboard > Gboard (or your keyboard app) > Text correction > Personal dictionary > Add (+).
- Advanced Screenshot Tools (iOS & Android): Go beyond basic screenshots.
- iOS: After taking a screenshot, tap it to access markup tools, crop, and even capture a full-page screenshot in apps like Safari.
- Android: Many Android phones offer scrolling screenshots and built-in editing tools directly after taking a screenshot. Explore your phone’s settings under “Advanced features” or similar.
- App Pinning/Screen Pinning (iOS & Android): Temporarily lock your phone to a single app. This is useful when lending your phone to someone.
- iOS: Settings > Face ID & Passcode (or Touch ID & Passcode) > Turn on Guided Access. Then, triple-click the side/home button in an app to enable it.
- Android: Settings > Security > Screen pinning. Turn it on and follow the instructions to pin an app from the recent apps overview.
- Quick Actions via Long Press/3D Touch (iOS & Android): Many app icons offer quick access to common functions when you long-press them. This can save several taps. Experiment with different app icons.
- Customizing Widgets (iOS & Android): Widgets offer at-a-glance information and quick actions directly from your home screen. Explore the customization options to tailor them to your needs. Long-press an empty area on your home screen to access the widget menu.
- Back Tap (iOS): On iPhones 8 and later, you can assign actions to double or triple taps on the back of your phone (e.g., open the camera, take a screenshot, access shortcuts). Settings > Accessibility > Touch > Back Tap.
- Android’s Quick Settings Tiles: Customize the tiles that appear when you swipe down from the top of your screen twice. You can often add, remove, and rearrange these for quick access to frequently used settings.
Google Chrome
- Tab Groups: Organize your open tabs into labeled groups to reduce clutter. Right-click on a tab and select “Add tab to new group” or “Add tab to existing group.”
- Reading Mode (“Distill page”): Simplify cluttered webpages for easier reading. Type
chrome://flagsin the address bar, search for “Reader Mode,” enable it, and relaunch Chrome. A “Distill page” option will appear in the menu. - Task Manager: Just like your operating system, Chrome has its own task manager to see which tabs and extensions are using the most resources. Press Shift + Esc (Windows/Linux) or Option + Command + Esc (macOS).
- Quickly Reopen Recently Closed Tabs: Accidentally closed a tab? Press Ctrl + Shift + T (Windows/Linux) or Command + Shift + T (macOS) to reopen the last closed tab. Repeat to reopen even earlier closed tabs.
- Custom Search Engines: Add shortcuts to search within specific websites directly from the address bar. Go to Settings > Search engine > Manage search engines and site search > Add.
- Chrome Flags: Explore experimental features by typing
chrome://flagsin the address bar. Be cautious, as these features may be unstable.
Microsoft Word
- Styles Pane: Go beyond basic formatting by using Styles to create a consistent and easily modifiable document structure (Heading 1, Heading 2, Normal, etc.). This also makes navigation and creating a table of contents much easier. (Home tab > Styles group > Click the arrow in the bottom right).
- Track Changes Advanced Options: Customize how tracked changes appear (colors, formatting). Review tab > Track Changes > Change Tracking Options.
- Quick Parts: Save frequently used text snippets, graphics, or auto-text entries for quick insertion. (Insert tab > Text group > Quick Parts).
- Mail Merge Beyond Letters: Use Mail Merge for creating labels, envelopes, or even personalized emails directly from Word. (Mailings tab > Start Mail Merge).
- Smart Lookup: Quickly get definitions, images, and other information about a word or phrase without leaving Word. Right-click on the word and select “Smart Lookup.”
Microsoft Excel
- Flash Fill: Automatically fill in columns based on patterns. If you have a column with full names and want to extract first names, type the first few first names, and Excel will likely recognize the pattern and offer to fill the rest. (Data tab > Data Tools group > Flash Fill).
- Advanced Filtering: Go beyond basic filtering with custom criteria, multiple conditions, and filtering by color. (Data tab > Sort & Filter group > Filter > Click the dropdown arrow in a column header > Number Filters/Text Filters/Date Filters > Custom Filter).
- Conditional Formatting Rules Manager: Manage and edit all conditional formatting rules applied to a sheet in one place. (Home tab > Styles group > Conditional Formatting > Manage Rules).
- Data Validation: Set rules to restrict the type of data that can be entered into cells, preventing errors and ensuring consistency (e.g., only allow numbers within a certain range). (Data tab > Data Tools group > Data Validation).
- Power Query (Get & Transform Data): A powerful tool for importing, cleaning, and transforming data from various sources. (Data tab > Get & Transform Data group).
Gmail
- Advanced Search Operators: Use operators like
from:,to:,subject:,before:,after:,is:starred, etc., to perform highly specific searches. - Canned Responses (Templates): Save frequently used email replies as templates for quick insertion. (Settings > See all settings > Advanced > Templates > Enable).
